Hiring a park or public open space

When permission has been granted

Once permission is granted for your event you will be sent a conditional approval followed by an invoice for the hire fee. This amount should be paid within the terms of the invoice and at least ten working days before the event. This is a condition of the licence agreement, which you will need to agree to in your declaration when submitting your application via EventApp. Failure to pay in time could result in cancellation of the event.

Depending on the size and nature of the event, we may require you to attend additional Safety Advisory Group meetings leading up to the event date, even after you have been given a hire agreement.

Site handovers

For most events, before you start to set up your event the site will be inspected with you to record its current condition. After the event a similar inspection will take place and any damage or mess created by the event will be assessed. The event organiser is responsible for all costs to repair or clean the site where needed.

Event monitoring

Events are monitored by council officers who must be granted access to all areas of the event. Monitoring officers may ask for specific actions to be taken to ensure the agreed plans for the event are followed or if the event contradicts the outdoor events policy. If suitable actions are not taken or are insufficient the event may be closed.

Evaluation

As part of the ongoing monitoring and development of our services, you will be expected to evaluate your event once your event is completed. The information gathered is vital to help us improve the quality of service offered.
