Obtaining school records

There are many ways we can help if you need to see records held about pupils, school staff or the education system in Southwark.

Information asset register

Our information asset register contains details of ownership and descriptions and location of records we hold (for example, minutes of important meetings or lists of pupils' files). The register helps us find requested records, whether they're in paper, electronic or other formats.

Data Protection Act (2018) and GDPR (2016)

We hold information on pupils and school staff in order to run the education system, and in doing so have to follow the GDPR (2016) and the Data Protection Act (2018). This means, among other things, the data held about pupils and school staff must only be used for specific purposes allowed by law. For further details, view:

Asking us for information we may hold about you

You can ask us if we hold any information about you or your children. If you make a request, which must be in writing, we'll acknowledge your request within three working days and will provide you with a copy of the personal data, if we hold it, within 30 calendar days.

You will be asked to provide proof of your identification.

Asking us for your school records

If you need your child's school records, contact your child's school as we don't hold these.

The Freedom of Information Act

Freedom of Information Act 2000 gives you the right to see most types of recorded information held by the council. This legislation makes the council more accountable to the taxpayer.
